Position Title Project Support Assistant
Dept Location: Antakya, Turkey
Reports To Shelter Project Manager
Catholic Relief Services began its operations in Turkey in response to the growing humanitarian needs of vulnerable populations in Northern Syria and refugees in Turkey. In Northwest Syria, CRS is working through its partner DAR to provide assistance in immediate lifesaving support as well as slowly paving the way for transitional development initiatives to meet medium to long term needs of vulnerable families inside Syria. Through programs funded by USAID/FFP, USAID/OFDA, IHA (Canada), and other private donors, CRS has developed a wide reaching portfolio of programs to support the immediate food and NFI needs of IDPs and host communities in NW Syria through a collection of in-kind, voucher and cash modalities. The DAR team in Syria is also implementing a number of other emergency response and early recovery projects focusing on Agriculture, WASH and Shelter.
The Project Support Assistant is responsible for providing effective administrative and organizational support to the OFDA-funded program team. The Project Support Assistant’s primary responsibilities will be to maintain program databases and ensure the verification, documentation and appropriate filing of program-related distribution lists, contracts, monitoring reports, BoQs, monitoring photographs/videos and payment records, in accordance to CRS’ Program and Management Quality standards. The position will report to the Shelter Project Manager, with input from other sector project managers as needed.
Maintain program documents files (electronic and hard copies), ensure a secure and organized filing system and archive records. These include:
Distribution forms/beneficiary lists and databases for each sector (Shelter, WASH, Agriculture and NFI).
Documentation on selection criteria and programing decisions regarding coverage and selection.
All documents relating to voucher-based programming – bid committee documentation, vendor contracts, vendor payments.
All construction documentation for WASH and Shelter projects – BoQs, construction timelines and milestones, and contractor payment records.
Daily, weekly and monthly monitoring reports for WASH and Shelter construction projects.
In coordination with the field teams, support the correct archiving of monitoring photos of both shelter and WASH projects.
Where necessary, cross checking paper-based information with electronic ledgers and reports to ensure accurate reporting.
Where necessary conduct basic analysis of the distribution database to support reporting to the donor or cluster
Archiving all project documents at the end of project with guidance and support from each sector team.
Record and promptly disseminate minutes for partner, staff and other meetings;
Schedule and organize and/or assist in activities such as meetings, conferences, trainings and workshops for project staff
Support the Shelter and WASH procurement process by initiating procurement processes and ensuring proper follow-up and documentation.
Support the program in managing the allocation and tracking the equipment assigned to the program team in Turkey and Syria.
Coordination, Communication and Representation
Attend cluster meetings as requested to take notes and disseminate among sector teams.
Ensure systems are in place for the proper documentation of meetings and timely circulation of resulting information/outcomes.
Help with the coordination of visits of CRS staff/private donors, donor and partner staff as needed.
Provide written or oral translation when necessary;
Institutional Learning, Documentation and Sharing:
Identify and contribute to efforts to document best practices and lessons learned from OFDA programming for organizational learning, sharing among peers, and donors.
Support the completion and archive program success stories and case studies.

External: Other INGOs, UN agencies, Clusters, Vendors, and other service providers
Knowledge and Skills:
2 years of experience in the area of office management
Excellent organization skills and self-directed
Eager to learn new CRS processes and procedures
Demonstrated qualities of oral and written communication skills, culturally sensitive, and the ability to work with people of all faiths, good judgment, a team player and commitment to agency’s mission.
Must be trustworthy and always foster an atmosphere of transparency and integrity
Good computers and IT skills, fully capable with Microsoft Office (MS Word, Excel and PPT)
Excellent interpersonal communication skills and relationship builder
Spoken and written fluency in Arabic.
Good level of spoken and written fluency in English preferred.
